We are seeking a professional and experienced Benefits and Authorization Specialist who will work closely with the Clinical Staff to ensure all surgeries, drug, and in-office procedures benefits and authorizations/referrals are obtained prior to treatment for all providers and all locations.

Contact patients by letter and phone calls to ensure collection of deductibles prior to the service.
Provide estimates to patients and/or physicians as requested.
Meet with patients on or coordinate with billing for complex billing issues
Provides information in order to obtain drug benefits and authorization:
-Calls the insurance company and obtains benefits and authorization for the service requested.
-Puts a note in Connect Care advising clinical staff of all authorization status.
-Puts a note in Athena; on the related appointment and in Quickview “Patient Notes”

Two years Medical experience within a physician’s office preferred, Medical assistant experience a plus
Knowledge of third party payers, medical insurance, benefits levels and understand medical insurance claims processing
Knowledge of medical terminology and excellent computer skills
Strong interpersonal communication and problem solving ability
Must be familiar with carriers and services in need of authorization/referrals
Ability to multi-task and work in a fast paced environment mandatory
Excellent customer service skills
Epic EHR experience preferred.
Ability to manage patient phone calls and inquiries in an efficient, courteous and timely manner


We are seeking a professional and experienced Billing Specialist who will be responsible for collecting, posting and managing account payments. This is a full-time position.

Works assigned claims that have not been paid from a list and ensures claims are clean for submission and re-submission to the insurance carriers
Completes the Appeals process to assist in the collection of all money due to the practice for medical services provided
Contacts PCP offices to obtain retroactive referrals for patient services performed
Contacts insurance carriers to obtain retroactive authorizations for patient services performed
Provides all necessary medical records attachments required by the insurance carrier

Previous experience in medical billing and/or successful completion of secondary education in medical billing and/or medical administration
Must fully understand the billing cycle to include all aspects of registration, billing, and appointment scheduling
Experience working with the Athena system is preferred
Working knowledge of CPT coding, HCSPCS coding, and ICD9 coding as it relates to urology medical services. Understands the utilization of modifiers and other coding rules to include the AMA, CCI, and other coding organizations
Certified Procedural Coder (CPC) is preferred
Strong oral and written communication skills for corresponding with physicians, patients, fellow employees, and third party insurance company representatives
Ability to multi-task and work in a fast paced environment
Excellent customer service skills
Ability to manage patient phone calls in an efficient, courteous and timely manner
Proficient in completing all necessary tasks to finalize the billing process


We are seeking a professional and experienced State Certified Clinical Assistant (CMA) who will perform a variety of clinical tasks for a physician, as assigned.

Ensures that exam rooms are prepped, cleaned, and stocked in preparation for patients and between patients as required
Prep patients for any in office procedures and assists providers as necessary with exams, treatments and testing
Perform necessary procedures as required (phlebotomy, bladder scans, catheter changes, etc.)
Collect and properly label all necessary lab specimens to include but not limited to blood, urine, and biopsy tissue
Perform CLIA waved laboratory testing, strictly adhering to the policies and guidelines established by the practice
Effectively use necessary PPE as appropriate and abide by safe handling and disposal protocols of medical equipment and materials
Utilize electronic medical records for documentation and charting all patient information to include but not limited to phone encounters, appointment scheduling, lab results, provider orders, etc.
Cover phones for patient triage for prescription refills, appointment scheduling, and other duties related to aiding in patient care and treatment, by answering, documenting, and routing when appropriate all incoming patient calls
Obtain authorizations and pre-certifications for clinical treatments, exams, diagnostic testing, and surgery as required per the patient’s health plan

Must be State Certified as a Medical Assistant or equivalent

Codes Surgical OP notes and other medical services to ensure proper coding and charging of services

Assists with the billing departments Compliance Audits
Reports to Billing Manager any coding issues trends and helps to resolve the issues
Assist with provider coding audits on a quarterly basis, or as determined necessary

Minimum 2 years medical billing experience

We are seeking a Clinical Research Coordinator to conduct clinical trials according to Good Clinical Practice (GCP) and FDA regulations. This is a full-time position.

Coordinates and implements an approved research study according to the study protocol and the policies of Urology of Virginia Research
Documents and maintains data for all study related procedures, processes and events.
Participates in quality control, monitoring visits and audits
Performs selected administrative duties delegated by Director of Research or principal investigators

Graduate of either an accredited Medical Assistant /Medical Technologist program, accredited school of professional nursing or possess a Bachelor’s Degree
Minimum of 2 years’ experience in clinical research or in a clinical office setting (urology preferred)
Certification by ACRP or SOCRA may be considered in place of education requirements


We are seeking full and part-time Document Scanning Specialists.

Create orders as needed
Identify elements of a medical record’s structure and content
Accurately scan papers containing medical or other pertinent information into patient’s electronic medical record, as needed
Index documents into the appropriate section of the medical record
Utilize electronic medical records for documentation and charting of patient information.
Promote teamwork and work effectively with others

We are seeking a professional and Medical Scribe with previous experience in a medical setting. This is a full-time position.

Provides real time chart documentation for physicians with the highest level of accuracy and efficiency.
Records patient’s history and chief complaint in the EHR as relayed by patient and/or physician.
Determines pertinent specifics of physical exam that should be recorded in the patient’s EHR.
Places orders in the EHR for diagnostic testing.
Records diagnostic and pathologic results into the chart as determined by physician.
Outlines the physician’s medical impression and prepares the plan of follow-up care as indicated by the physician.
Assists patients when necessary and answers patient questions where appropriate.
Completes Meaningful Use criteria as indicated during the patient exam.

Previous experience in a medical setting
Minimum typing speed of 45 WPM
Possesses strong oral and written communication skills for corresponding with physicians, patients, fellow employees, third party insurance company representatives
Epic EHR experience preferred.
