Surgery Scheduler

Description :

We are seeking a professional and experienced Surgery Scheduler who will perform a variety of complex, administrative tasks for a physician, as assigned.

  General Duties and Responsibilities:

  • Schedule patient appointments (UVA, pre and post op appointments, and surgery clearances).  Reschedule surgeries if necessary
  • Obtain authorization for surgery and work closely with the Pre-Auth/Benefit team with letting patient’s know the amount of the surgical estimates and collecting deposit if needed
  • Make sure H&Ps, labs, urine cultures, and medical clearances are obtained and up to date prior to surgery
  • Scan Surgery papers into EMR system
  • Call surgery patients that are scheduled 7 days in advance and confirm details related to their the surgery
  • Verify weekly surgeries in Office Tracker with each area hospitals and maximize provider’s surgery time
  • Assist patients with signing consent, explaining orders and anything else that is needed with the hospital work up office visit
  • Inform manager and physician of any potential scheduling conflicts or patient complaints / concerns
  • Schedule and maintain physician calendars. Notify appropriate person of meeting purpose, time, place, preparation of agenda. Verify Athena, Office Tracker, and any other scheduling book or device is in sync.
  • Coordinate arrangements for professional meetings, seminars, and special events (travel, lodging, registration
  • Complete FMLA (Family Medical and Leave Act) paper work for patients when needed
  • Utilize electronic medical records for documentation and charting all patient information to include but not limited to phone encounters, appointment scheduling, lab results, provider orders, etc.
  • Promote teamwork and works effectively with others
  • Demonstrates professionalism and compassion to patients and coworkers

Requirements :

  • High School graduate
  • One to three years of medical clerical or secretarial experience
  • Strong oral and written communication skills for corresponding with physicians, patients and fellow employees

  • Preps patients for any in office procedures and assists providers as necessary with exams, treatments and testing. As well as, performs necessary procedures as required (phlebotomy, bladder scans, catheter changes, etc.)
  • Collect and properly label all necessary lab specimens to include but not limited to blood, urine, and biopsy tissue 
  • Perform CLIA waved laboratory testing, strictly adhering to the policies and guidelines established by UVA and the practice 
  • Effectively uses necessary PPE as appropriate and abides by safe handling and disposal protocols of medical equipment and materials

Clinical Support for Physical Therapy

Description :

We are seeking a professional  who will provide patient care and administrative support to the Physical Therapists.

General Duties and Responsibilities:

Clinical / Patient care PT

· Greets patients professionally and promptly assists patients to treatment room. Prepares patient for treatment as requested by treating therapist. 

· Prepares treatment rooms for patient care before and between patients. Adequately sterilizes all electrodes and treatments surfaces. Responsible for maintaining adequate clinical supplies in all treatment rooms

· Assists in treatment care as requested by therapist- prepping and applying modalities, set up for voiding trials including bladder scan and EMG preparation.

· Manages room flow including planning for specific room needs based on patient treatment. Monitors timers and disengages patient from heat/ stim when treatment time period is over.

· Communicates effectively to therapists regarding patient status, i.e.: ready in room, patient ready to perform therapeutic exercise etc.

· Cancels and reschedules patients when therapists are required to cancel due to illness or emergency.

Administrative

· Assists in scheduling all   PT patients. Assures that patients are scheduled in advance to prevent lapse in patient care.

· Responsible for ordering, tracking and procuring clinical and administrative supplies according to current Urology of Virginia protocols. Maintains inventory, vendor supply list and responsible for maintaining adequate supplies. 

· Communicate with offsite vendors to maintain adequate electrical stimulation units in stock. Complete necessary paperwork for patients to obtain home electrical stimulation units and other recommended equipment.

· Manages on –site no shows by calling and rescheduling appointments or cancelling as appropriate.   Manages therapist wait list, working with therapists to keep templates full.  Works in Phreesia checking and approving requests.

· Monitors therapist templates for errors in scheduling and make corrections as needed. Provide guidance to Admin Staff regarding PT scheduling procedures.

· Assists Admin Staff with scanning documents into Connect Care patient charts, documenting appropriately. 

· Manages retail sales. Keeps up to date records and provides on a monthly basis to Bookkeeping. 

· Assists Admin staff with PT phone calls in a professional manner and assists caller as appropriate. Returns messages in a prompt manner- within 24 hours. 

· Assists Admin Staff to complete all appropriate information in Athena and Connect care for scheduling.

Requirements :

· High School Diploma or equivalent

· Excellent customer service skills

We are seeking a Physician Assistant or Nurse Practitioner to provide office-based care in our Virginia Beach office. The PA/NP will see patients independently alongside collaborating physicians and APPs and would join our growing team of 20+ APPs providing high-quality care to our patients. Our APPs work within Centers of Excellence built around specific urologic conditions. Office-based procedures can be taught if desired.

General Duties and Responsibilities:

  • Demonstrate a high degree of general medical and urological knowledge and exercise independent judgment as appropriate
  • Assess the patient’s medical condition by completion of a urological examination
  • Document appropriately and communicate with the appropriate physician in a timely manner as required, including, but not limited to:  evaluations, treatment plans, progress reports, treatment notes, and other reports as requested 
  • Order and evaluate laboratory, radiological and diagnostic tests
  • Prescribe, monitor, and adjust medications and devices based on the patient’s medical condition
