Medical Call Center Representative

Description :

Urology of Virginia (UVA) has a long history of providing comprehensive and quality care to the entire Hampton Roads region, including northeastern North Carolina.  Our clinical care team consists of board certified urologists most of whom are fellowship trained, nationally recognized, awarded and published.  Working in a team based environment, our mission is to help patients optimize their urological health.

We are seeking candidates with prior clinical experience, to join our team. This position will be responsible for scheduling all non-surgical office appointments, responding to incoming phone calls from established patients and other external callers, and communication with sites to ensure that patient phone call requests are resolved in a timely manner. This role is critical to creating a positive first impression for the practice and to show patients a "we care" attitude.

General Duties and Responsibilities:

  • Evaluate patient's needs and determine appropriate site and provider of care.
  • Register patients by gathering demographic information with the highest possible proficiency, and verify existing data.
  • Promptly and courteously answer and screen incoming calls and route them appropriately according to established customer service guidelines.
  • Prioritize calls using courteous and professional attitude to ensure the highest satisfaction from patients.
  • Verify and/or confirm appointments for patients. Provide various types of information to assist patients.
  • Arrange the services of an interpreter when deemed necessary
  • Ensure that all new patient medical notes from referring providers are scanned into electronic medical chart.

Requirements :

  • Possesses strong oral and written communication skills for corresponding with physicians, patients, fellow employees, third party insurance company representatives.
  • Athena experience preferred

Clinical Assistant

Description :

We are seeking a professional and experienced Clinical Assistant who will perform a variety of clinical tasks for a physician, as assigned.

General Duties and Responsibilities:

  • Ensures that exam rooms are prepped, cleaned, and stocked in preparation for patients and between patients as required.  Preps patient charts as required for appointments.
  • Preps patients for any in office procedures and assists providers as necessary with exams, treatments and testing. As well as, performs necessary procedures as required (phlebotomy, bladder scans, catheter changes, etc.)
  • Collect and properly label all necessary lab specimens to include but not limited to blood, urine, and biopsy tissue
  • Perform CLIA waved laboratory testing, strictly adhering to the policies and guidelines established by UVA and the practice
  • Effectively uses necessary PPE as appropriate and abides by safe handling and disposal protocols of medical equipment and materials
  • Provide patient education and training as needed to include by not limited to self- catheterization, bladder irrigations, pre-op instructions and post-op care
  • Utilizes electronic medical records for documentation and charting all patient information to include but not limited to phone encounters, appointment scheduling, lab results, provider orders, etc.
  • Cover phones for patient triage for prescription refills, appointment scheduling, and other duties related to aiding in patient care and treatment,by answering, documenting, and routing when appropriate all incoming patient calls
  • Obtains authorizations and pre-certifications for clinical treatments, exams, diagnostic testing, and prescriptions as required per the patient’s health plan

Requirements :

  • Certification as a Medical Assistant or equivalent
  • Successful completion of secondary education in medical assisting or other nursing related field of study

Director of Finance

We are seeking a Director of Finance who will have overall hands on responsibility for all in-house accounting functions, including financial reporting and analysis, budgeting and cash flow management. The ideal candidate is a detail-oriented self-starter who is able to manage a growing department and take on greater responsibility as Urology of Virginia continues to grow. This is an exciting opportunity for someone interested in stepping up to the CFO level for a multimillion dollar specialty practice.

General Duties and  Responsibilities:

  • Establish, implement, and monitor policies and procedures that improve practice financial performance
  • Gather and analyze data, and produce financial reports as requested by administration, physicians, departments and committees
  • Manage and oversee all disbursements, ensuring the accurate and timely processing of accounts payable, cash management, payroll processing, corporate and payroll taxes
  • Work closely with HR on processing and managing payroll
  • Manage monthly bank statement reconciliation, financial reporting, journal entry, account analyses and supporting schedules
  • Maintain physician expense files and expense reimbursements

Regulatory Compliance Specialist

We are seeking a Regulatory Compliance Specialist who can ensure Urology of Virginia is conducting business in full compliance with all applicable laws and regulations. 

General Duties and Responsibilites:

• Develop and implement OSHA policies and procedures designed to ensure the safe and efficient provision of clinical services in the practice. Review all policies and procedures annually and as needed.   

• Ensure OSHA guidelines are being followed and the company is adhering to various laws and regulations.

• Perform employee PPD testing as required for OSHA. 

• Train new and current staff on OSHA regulations, HIPAA, and Compliance, ensuring training is done within mandated regulatory time frames.

• Investigate workers compensation injuries, ensure proper medical treatment, and initiate procedures and policies to prevent repeat injuries. 

• Prepares submission of all necessary documents to a designated Hospital Review Committee (IRB/MEC/MAC) when study requires procedures or specimens from hospitals. Includes preparation of hospital department submission form, collection of investigator signatures and information, budget matrix and delivery of documents to the committee in a timely manner.

• Maintain all protocol regulatory documents for compliance with IRB policies and procedures, including submission of new protocols, annual reviews, amendments, adverse events, and close-out reports.  

• Perform quarterly internal audits of ongoing research studies selected by the Director of Research. Prepare reports and findings to be addressed by research personnel.     

Requirements :

• Bachelor’s degree preferred

• 1-3 years of experience in a medical setting

• Medical group or healthcare compliance experience preferred

• Knowledge of FDA guidelines preferred

• Ability to handle sensitive and confidential information

• Strong presentation skills

• Comfortable working in a dynamic changing environment

Registered Nurse - Lithotripsy PRN

General Duties and Responsibilites:

• Assists with equipment transportation to the facilities and the initial room setup.

• Pre-operatively assesses patient’s medical condition. Looks for contraindications that would preclude patient from receiving lithotripsy services. Immediately alerts the treating physician of any concerns. 

• Educates patient and/or patient’s family regarding post-operative expectations.

• Assists anesthesia provider during procedure when necessary. 

• Delivers patient to PACU post-operatively and reports patient medical status to PACU personnel. 

• Participates in reduction of radiation exposure by wearing film badge and lead apron as required during the procedure.  

• Documents pertinent medical information in the patient’s chart as necessary.  

• Assists in the maintenance of logs for proper record keeping. 

Requirements :

• Graduate of an accredited school of professional nursing (RN)

• Must be flexible to accommodate and extensive travel territory

• Strong oral and written communication skills for corresponding with physicians, patients and fellow employees

• Proficient in typing (65 wpm) 

• Ability to multi-task and work in a fast paced environment

• Proficient in Microsoft Office

• Excellent customer service skills

• Experience working with Electronic Medical Records (EMR) preferred

• OR experience preferred, but not required.

We are seeking a Clinical Research Coordinator to conduct clinical trials according to Good Clinical Practice (GCP) and FDA regulations. 

General Duties and Responsibilities:

  • Coordinates and implements approved research studies according to the study protocol and the policies of Urology of Virginia Research  
  • Documents and maintains data for all study related procedures, processes and events  
  • Participates in study related meetings (out of state travel), quality control, monitoring visits and audits
  • Performs selected administrative duties delegated by Director of Research or principal investigators

Requirements :

  • Able to read, analyze, and interpret information from technical and scientific protocols and government regulations
  • Possess excellent verbal and written communication skills as well as excellent interpersonal skills
  • Able to effectively present information and respond to questions from physicians, staff and patients
  • Graduate of either an accredited Medical Assistant /Medical Technologist program, accredited school of professional nursing or possess a Bachelor’s Degree 
  • Minimum of 2 years’ experience in clinical research or in a clinical office setting (urology preferred)

Physical Therapist

We are seeking a professional and experienced Physical Therapist to join their team of experienced and supportive professionals providing comprehensive therapy services to patients with pelvic floor dysfunction.  APTA membership and licensure is covered. We offer mentorship and a generous education stipend.

General Duties and Responsibilities:

  • Provides comprehensive evaluation therapy services to patients with pelvic floor dysfunction.
  • Develops treatment plans for assigned patients, including specific goals, established in conjunction with the patient and family, and therapeutic activities.
  • Administers physical therapy treatments including therapeutic exercises, neuromotor reeducation including the use of EMG biofeedback, manual therapy and modalities as prescribed, all specific to pelvic floor dysfunction; directing treatments given by technicians.
  • Re-evaluates and modifies treatment plans at periodic intervals and whenever necessary.
  • Provides education to patients and family members, maintaining patient confidentiality.
  • Documents appropriately and in a timely manner as required, including, but not limited to: evaluations, treatment plans, progress reports, billing documentation, treatment notes, and other reports as requested.
  • Demonstrates essential skill competencies in the use of treatment modalities, equipment and protocols.
  • Effectively communicates with LPTAs regarding treatment plan, patient progress and works cohesively to assure maximum functional outcome for patient.
  • Maintains up to date knowledge based on new and innovative treatments for PFD patients through reading medical journals, attending continuing education courses. Recognize this as a unique specialization that requires diligence and adaptability to new and innovative care plans. Assists in development of new programs.
  • Able to manage a patient load of 10 -14 patients per day in a timely and efficient manner while focusing on quality patient care in a professional manner. Ability to manage two treatment rooms concurrently.
  • Assists in scheduling of patients and maintains a working knowledge of insurance benefits/ authorization requirements for each patient.
  • Assists in room maintenance, equipment upkeep as necessary to assure prompt patient flow. Participates in requests for supplies and equipment.
  • Use time efficiently, works in conjunction with other staff members in positive and productive manner

Requirements :

  • Graduate of an accredited school of Physical Therapy
  • Licensure as Physical Therapist in the state of Virginia
  • Experience preferred but not essential 
  • Inexperienced therapists will be required to take H&W Level 1, 2A & B or APTA equivalent within first 2 years
