Job Overview

We are seeking a professional and experienced Clinical Assistant who will perform a variety of clinical tasks for a physician, as assigned.

Duties and Responsibilities:

• Ensures that exam rooms are prepped, cleaned, and stocked in preparation for patients and between patients as required. Preps patient charts as required for appointments
• Preps patients for any in office procedures and assists providers as necessary with exams, treatments and testing. As well as, performs necessary procedures as required (phlebotomy, bladder scans, catheter changes, etc.)
• Collect and properly label all necessary lab specimens to include but not limited to blood, urine, and biopsy tissue
• Perform CLIA waved laboratory testing, strictly adhering to the policies and guidelines established by UVA and the practice
• Effectively uses necessary PPE as appropriate and abides by safe handling and disposal protocols of medical equipment and materials
• Provide patient education and training as needed to include by not limited to self- catheterization, bladder irrigations, pre-op instructions and post-op care
• Utilizes electronic medical records for documentation and charting all patient information to include but not limited to phone encounters, appointment scheduling, lab results, provider orders, etc.
• Cover phones for patient triage for prescription refills, appointment scheduling, and other duties related to aiding in patient care and treatment, by answering, documenting, and routing when appropriate all incoming patient calls
• Obtains authorizations and pre-certifications for clinical treatments, exams, diagnostic testing, and prescriptions as required per the patient’s health plan

Requirements :

• Certification as a Medical Assistant or equivalent

We are seeking a professional and experienced Regulatory Specialist with strong working knowledge of research as it relates to medical services.

Duties and Responsibilities

• Adherence to all Urology of Virginia policies and procedures and obeys all guidelines outlined in the Employee Handbook
• Strong oral and written communication skills for corresponding with physicians, patients and fellow employees
• Attends staff meetings, clinical meetings, and training in-services as scheduled and required
• Adherence to the Urology of Virginia dress code policy

• Understands and follows all HIPPA and Corporate Compliance guidelines to ensure the security of patient and corporate information

• Prepare submission of all necessary documents to a designated Hospital Review Committee (IRB/MEC/MAC) when study requires procedures or specimens from hospitals. Includes preparation of hospital department submission form, collection of investigator signatures and information, budget matrix and delivery of documents to the committee in a timely manner
• Educate and assist EVMS Department of Urology residents and fellows with project submission to the EVMS IRB
• Maintain all protocol regulatory documents for compliance with IRB policies and procedures, including submission of new protocols, annual reviews, amendments, adverse events, and close-out reports
• Ensure compliance with sponsor requirements for record management by maintaining study regulatory binders and other documents. Binders/eBinders should be well organized and kept current with timely filing of documents and other correspondence. Binders can be paper based or electronic
• Follow-up on all submissions of regulatory documents for approval and troubleshoot any identified problems with submissions in a timely manner
• Maintain regulatory document submission spreadsheet and generate monthly activity reports 
• Maintain or seek annual updates of licensures, training and curriculum vitae of study investigators and research staff as required by study sponsors and/or IRB’s. Also seek updated lab licenses and IRB membership lists annually
• Continuously review IRB administrative procedures and inform the research staff of changes
• Routinely review the FDA website for updates to regulations and processes pertaining to research. Inform research staff of changes and effective dates
• Assist with sponsor monitoring visits
• Serve as site representative on the Institutional Biosafety Committee (IBC) to include submission and maintenance of IBC regulatory documents, and attendance at IBC site visits and annual meetings
• Perform quarterly internal audits of ongoing research studies selected by the Director of Research. Prepare reports and findings to be addressed by research personnel
• Organize study files on the research server (N drive) and within the CTMS (CRIO)
• Maintain regulatory maintenance of all sponsored and academic studies
• Complete and update GCP, Human Subjects Protection and IATA training at required times

Requirements :

Required License/Experience/Skills

• A college (2 or 4 year) graduate with experience in a research setting, or a high school graduate with research and regulatory experience of at least 2 years
• Must have excellent reading and writing skills and be highly organized
• Must be well versed in Microsoft Office programs (Word, Excel, PowerPoint)

Preferred License/Experience/Skills

• Knowledge of FDA guidelines 
• Familiarity with medical terminology is helpful

Job Overview

We are seeking candidates with prior clinical experience, to join our team. This position will be responsible for scheduling all non-surgical office appointments, responding to incoming phone calls from established patients and other external callers, and communication with sites to ensure that patient phone call requests are resolved in a timely manner. This role is critical to creating a positive first impression for the practice and to show patients a "we care" attitude.

Duties and Responsibilities

• Primary function is to accurately triage all phone calls by evaluating their needs to determine appropriate site and provider of care, based on the conversation with the patient.
• Uses appropriate/required documentation (i.e. dot phrases) based on type of call being handled or placed. i.e., Clinical issues, prescription refills, imaging, no show.
• Registers patients by gathering demographic information with the highest possible proficiency and verifies existing data. Upon registering the patient, mails appointment reminder, information packet, and various office.
• Distributes incoming faxes to the appropriate recipients.
• Completes incoming requests from referring providers via telephone calls, emails, in-baskets or faxes and manages their requests and/or inquiries. Accommodates requests for same day appointments as permitted.
• Promptly and courteously answers and screens incoming calls and routes them appropriately according to established customer service guidelines.
• Prioritizes calls using courteous and professional attitude to ensure the highest satisfaction from all callers.
• While providing comprehensive service in an effort to reduce call transfers, redundancy of questions and unnecessary call backs.
• Handles complaints and inquiries by obtaining and evaluating all relevant data. Resolves the caller’s  concerns in a timely fashion.
• Coordinates changes, postponements and cancellations with other schedulers so that waitlist may be managed in a timely manner.
• Completes prescription refills as per practice protocol. 
• Verifies and/or confirms appointments for patients are needed-PCR.
• Indicates the services of an interpreter when deemed necessary.
• Stays abreast of the practice’s participation with medical healthcare insurances and their requirements.
• Projects an image of professionalism in both verbal and non-verbal communication to ensure a positive experience for patients, providers, visitors and colleagues.
• Assists department management in identifying needs for training and staff education. Offers guidance, assistance and direction to less experienced team members.
• Sends notification to Chart Prep when a new patient is scheduled.

• Previous experience in medical setting

This position will be responsible for scheduling all non-surgical office appointments, responding to incoming phone calls from established patients and other external callers, and communication with sites to ensure that patient phone call requests are resolved in a timely manner. • Primary function is to accurately triage all phone calls by evaluating their needs to determine appropriate site and provider of care, based on the conversation with the patient.

Job Overview

We are seeking a professional and experienced Clinical Assistant who will perform a variety of clinical tasks for a physician, as assigned.

Duties and Responsibilities:

• Ensures that exam rooms are prepped, cleaned, and stocked in preparation for patients and between patients as required.  Preps patient charts as required for appointments.
• Preps patients for any in office procedures and assists providers as necessary with exams, treatments and testing. As well as, performs necessary procedures as required (phlebotomy, bladder scans, catheter changes, etc.)
• Collect and properly label all necessary lab specimens to include but not limited to blood, urine, and biopsy tissue
• Perform CLIA waved laboratory testing, strictly adhering to the policies and guidelines established by UVA and the practice
• Effectively uses necessary PPE as appropriate and abides by safe handling and disposal protocols of medical equipment and materials
• Provide patient education and training as needed to include by not limited to self- catheterization, bladder irrigations, pre-op instructions and post-op care
• Utilizes electronic medical records for documentation and charting all patient information to include but not limited to phone encounters, appointment scheduling, lab results, provider orders, etc.
• Cover phones for patient triage for prescription refills, appointment scheduling, and other duties related to aiding in patient care and treatment, by answering, documenting, and routing when appropriate all incoming patient calls
• Obtains authorizations and pre-certifications for clinical treatments, exams, diagnostic testing, and prescriptions as required per the patient’s health plan

Requirements :

Required License/Experience/Skills  

• Certification as a Medical Assistant or equivalent
• Successful completion of secondary education in medical assisting or other nursing related field of study
• Ability to multitask and work in a fast paced environment
• Excellent customer service skills
