Job Overview
The Residency Program Coordinator position at Urology of Virginia has several levels with varying educational requirements and position responsibilities. The major responsibilities are defined at the discretion of the Program Director (PD). The program coordinator position for employment falls under Urology of Virginia but is administered under the sponsoring institution for the residency, Eastern Virginia Medical School at Old Dominion University.
Duties and Responsibilities
Appointments and Credentialing
- Manage appointment process for incoming trainees in coordination with appointment and credentialing processes in Graduate Medical Education Office
- Establish and ensure compliance with program-specific credentialing requirements (e.g., ACLS, PALS, simulation training)
- In conjunction with the Graduate Medical Education Office, ensure compliance with all incoming resident orientation requirements, registration, and licensure processes
- In conjunction with the Graduate Medical Education Office and EVMS at ODU Human Resources, field questions regarding visas
- Assist the PD in completion of the EVMS at ODU Verification Forms, final evaluation letters and ensure those documents are forwarded to the Graduate Medical Education Office
- Manage trainee exit process following the Graduate Medical Education Office processes
- In conjunction with the Graduate Medical Education Office, submit data for completion of training and other certificates

- Train faculty on program’s evaluation methods and system to help ensure consistency and fairness across evaluators
- Track and document faculty attendance at professional development activities
- Ensure program faculty have current and required credentials and they are logged into the ACGME ADS
- Annually, update PD CV and revise information in the ACGME ADS
Files
- Maintain educational files for all current trainees and for alumni of the program
- Archive alumni trainee files in accordance with EVMS at ODU records management retention schedules
- Coordinate with the PD the distribution of alumni follow-up surveys and summarize the data for the PEC
- Maintain trainee database and hard copy files of current and alumni trainees
Financial
- Maintain and submit to the Office of Business Management the New Innovations resident scheduling system
- Ensure the intern/resident/fellow scheduled assignments at various teaching institutions match the funding allocations
- If desired by the Department, assist in the management of the GME budgets
- Track intern/resident/fellow leave (vacation, sick, educational)
- With the assistance of the GME Fiscal Technician, provide documents to process reimbursements requests for supplies, travel, etc.
Professional Development
- Regularly attend the GME Program Administrators Council meetings and participate in the development of other programs by presenting best practices at the meeting
- Participate in the Virginia Residency Coordinators Statewide meeting
- Collaborate with colleagues in the Graduate Medical Education Office
- Attend at least one ACGME conference within a two-year period
- Attend at least one specialty educational meeting within a two-year period
- Have or in process of attaining TAGME certification
- Must attain TAGME certification within three years in position or after criteria is met
- Engage in educational research and submit posters/papers to local, state, national meetings
Program Accreditation and Compliance
- Develop working knowledge of the ACGME policies, procedures, including the ACGME Common Program Requirements as well as Specialty-Specific requirements; or other accrediting body requirements
- Assist in the development of program policies to meet accreditation requirements
- Maintain all essential documents to substantiate compliance with requirements
- Ensure intern/resident/fellow compliance with New Innovations Residency Suite Duty Hour reporting
- Assist the PD with the Annual Program Evaluation (APE) and update the document as responses to concerns are conducted

- Ensure adherence to National Resident Matching Program (NRMP) requirements and deadlines
- Oversee the development and maintenance of online and hardcopy recruitment materials
- Manage the interview process including schedules, interview day activities and any follow-up

Supervision
- Process vacation/leave request forms and monitor use of leave categories

- As applicable, serve as supervisor for additional program staff necessary for the execution of the GME duties
Trainee Schedules
- In consultation with the PD and the PEC, develops and maintains trainee schedules, including annual rotation schedules, call schedules, and clinical schedules
- Maintain current schedules and updates in New Innovations
- Communicate schedules to all participating institutions and paging operators as needed
- Approve revisions to schedules and coordinates changes with participating institutions
- Advise and counsel trainees concerning specialty board educational requirements and, in conjunction with the PD, makes adjustments to schedules to ensure compliance
- Coordinate information and activities with other services, sites, departments, including rotation/call schedules, evaluations, conferences, interviews, room/course scheduling
- Manage off-site rotation schedules (participating institutions and away rotations)
Requirements :
Required License/Experience/Skills
- Bachelor’s Degree and at least one year of experience in administration and/or office management
- Experience in an academic health care setting is desirable
- Certification through the Training Administrators of Graduate Medical Education (TAGME) must be obtained within the first three years of employment

Urology of Virginia is seeking an experienced Molecular Lab Tech to work in both their UroVysion FISH and Molecular PCR Labs.
Duties and Responsibilities
Perform all tasks and benchtop procedures necessary to maintain the day-to-day operations of the Molecular laboratories including all necessary QC and QA according to CLIA and OSHA regulations.
- Perform all tasks in relation to urine PCR testing and reporting of both bladder cancer and UTI
- Process patients’ UroVysion FISH specimens, make ThinPrep slides, and perform the Abbott UroVysion FISH assay on slides
- Enumerate patient results manually using fluorescent microscopy
- Photograph exemplar cells in positive patient specimens for inclusion in patient reports
- Work closely with the pathologist to ensure accurate patient FISH assay reporting
- Maintain inventory of all PCR and UroVysion FISH supplies
- Maintain all PCR and FISH lab equipment and documentation of all maintenance & repairs
- Participate in proficiency testing and maintaining quality assurance program
- Participate in the maintenance of Lab Procedure Manuals to include review of existing procedures, updating as needed, and the writing of new Molecular PCR procedures per CLIA and/or CAP regulations as applicable
Requirements :
Required License/Experience/Skills
- Minimum of a BS in a clinical science (i.e. Molecular Biology, Medical Technology or Laboratory Science)
- Molecular Technologist Board certification (MT-ASCP) or registration eligible with American Society of Clinical Pathologist within one year of employment
- 2+ years’ work experience in a clinical setting molecular laboratory required
- Fluorescent microscopy

We are seeking a professional and experienced Licensed Practical Nurse who will perform a variety of clinical tasks for a physician, as assigned.
Duties and Responsibilities
- Ensures that exam rooms are prepped, cleaned, and stocked in preparation for patients and between patients as required.
- Preps patient charts as required for appointments
- Preps patients for any in office procedures and assists providers as necessary with exams, treatments and testing. As well as, performs necessary procedures as required (phlebotomy, bladder scans, catheter changes, etc.)

Phones:
- Answers telephone within 3 rings in a courteous and friendly manner, directing the caller to the appropriate person or completing the request made by the caller
- Checks individual and group voicemail boxes hourly
- Returns calls on the same day
- Leaves no voice messages in the mailbox at the end of the day
Coordinates Surgery:
- Schedule surgery date with the hospital
- Update Qgenda with the surgery
- Work with the Benefit/Auth Team to inform patients of surgical estimates, deposits and obtain insurance authorizations
- Makes sure H&Ps, labs, cultures, diagnostic testing and medical clearances are obtained and up to date and that the results are available for review prior to the surgery date
- Ensure timely scanning of pre-op orders, consents, etc. into the patient EMR.

Other:

- Weekly verify surgery in Office Tracker with the hospital scheduling offices to maximize provider’s surgery time
- Notify the Administrative Manager if a surgery has been cancelled and a provider is able to work back into the office
- Admits patient directly to the hospital when needed
- Submit FMLA, disability, work notes and other papers for patients when needed.
- Greet patients in a professional and courteous manner
- Utilizes electronic medical records for documentation and charting all patient information to include but not limited to phone encounters, appointment scheduling, lab results, provider orders, etc
- Accurately maintains the office schedule and calendars. Verifies that Athena, Qgenda and other scheduling tools match

Urology of Virginia’s specialized clinical care team includes an in-house laboratory focusing on urological lab testing. We are seeking an experienced Histotech (HTL or HT) to work in our Surgical Pathology Lab located in Virginia Beach. This is a Monday thru Friday daytime position working 30-40 hrs/week with Full-time benefits.
Duties and Responsibilities
- Maintain an adequate inventory of pathology supplies and maintain the proper storage of hazardous and viable lab items, dating when received and noting expiration dates
- Perform the grossing, processing, embedding, and cutting of all surgical tissue specimens to prepare labeled cassettes and slides for H&E staining and cover slipping according to our procedures. IHC slides will be processed when requested by pathologist

- Maintain proper documentation of quality control and quality assurance for stained & IHC slides, as well as logs for temperature, humidity, pH, air vapor monitoring, and grossing data

Job Overview
We are seeking a Physicians Assistant to provide office-based care and see patients independently alongside collaborating physicians and APPs in our Cancer Center. Our Physicians Assistants manage all aspects of urologic oncology including prostate cancer, bladder cancer, renal cancer, etc. Physicians Assistants will manage cancer patients, with physician support, through diagnosis and discussion of treatment options, interpretation of ongoing labs and imaging, and management of cancer medications and related adverse events. We have a strong research program with 20+ clinical trials with Physicians Assistants actively enrolling and monitoring patients.
Duties and Responsibilities
- Demonstrate a high degree of general medical and urological cancer knowledge and exercise independent judgment as appropriate
- Assess the patient’s medical condition (prostate cancer, bladder cancer, renal cancer, etc.) by completion of a urological examination
- Document appropriately and communicate with the appropriate physician in a timely manner as required, including, but not limited to: evaluations, treatment plans, progress reports, treatment notes, and other reports as requested
- Order and evaluate laboratory, radiological and diagnostic tests
- Prescribe, monitor, and adjust medications and devices based on the patient’s medical condition
- Develop and perform treatment plans in accordance with established protocols
